Privacy Notice

What we hold, why we hold it, and how we look after it.

This notice explains what information Lighthouse Therapy Group Ltd holds about you, why we hold it, where it is kept and who we share it with. We have tried to write it plainly. If anything is unclear, ask your counsellor or get in touch with us and we will talk it through.

Who we are

Lighthouse Therapy Group Ltd is a counselling practice based at 2 Emmerson Terrace, Washington, Tyne and Wear, NE38 7LN. We are responsible for the information we hold about you (in data protection terms, we are the "data controller").

How you agree to work with us

We don’t ask you to sign forms before you start. Instead:

  • If you book your sessions yourself, you will be asked to confirm, as part of booking your first paid session, that you have read our working agreement and this notice.
  • If your sessions are funded by a charity or other organisation, our team books them for you and your booking confirmation email includes links to both documents. Coming along to your first session means you are happy to go ahead on that basis.

Either way, your counsellor will talk you through confidentiality and its limits at your first session, so you can ask anything you want before going further.

What information we hold

About you

  • Your name, date of birth, address, phone number and email address
  • Your GP’s details and an emergency contact

About your therapy

  • What brought you to counselling and any relevant health or mental health history
  • Risk assessments and any safety plan you agree with your counsellor
  • Your counsellor’s session notes

About your appointments

  • When your sessions are booked, whether they took place, and any cancellations
  • Payments you make to us
  • Emails and messages between you and us
  • That you confirmed our working agreement and this notice when booking
  • If a charity or other organisation funds your sessions: its name, and the session record sheet you sign at the end of each session

We collect this from you directly. If another organisation refers you to us, we may also receive information from them with your agreement.

Why we hold it

  • To provide your counselling and look after your safety while you are with us
  • To book, remind you about and manage your appointments
  • To take payment, or to invoice the organisation funding your sessions
  • To support good practice through clinical supervision
  • To meet our legal duties, including safeguarding
  • To respond to any complaint or legal claim

Our legal basis

Data protection law says we need a lawful reason to hold your information. Ours are:

  • Providing the service you have asked for. This covers most of what we hold.
  • Legal obligations, for example safeguarding duties and keeping financial records.
  • Protecting life, in the rare event that someone is at serious risk.
  • Our legitimate interests, for clinical supervision and checking the quality of our work.

Information about your health is treated with extra care under the law. We hold it for the purpose of providing health care, under the professional duty of confidentiality that every counsellor here works to. We do not rely on your consent as the legal basis, which is why we don’t need you to sign anything for us to hold your information.

Where your information is kept

Your counsellor’s session notes are kept on paper, in locked filing cabinets at our premises, separate from your contact details. Everything else is held on the following systems:

SystemWhat it holdsWhy we use it
Acuity SchedulingYour name, contact details and appointment timesBooking and appointment reminders
Google WorkspaceEmails, our calendars and practice documentsEmail and day-to-day running of the practice
Our practice system (hosted by Supabase in London and Vercel)Your contact details, appointment and attendance history, and short admin notes. It does not hold therapy notes.Keeping track of your sessions and our admin
StripePayment details for sessions you pay forTaking card payments securely. We never see or keep your full card number.
XeroInvoices and payment recordsOur accounts

Each of these companies only uses your information to provide their service to us, under a written agreement with us. Some of them store data outside the UK, mainly in the US or EU. Where they do, the transfer is covered by safeguards approved under UK law.

Who we share your information with

What you tell us stays with us. We only share information in these situations:

  • Clinical supervision. Your counsellor talks about their work with a qualified supervisor, without using your name or anything that would identify you wherever possible.
  • Your GP or other professionals, only if you agree to it.
  • Organisations funding your sessions. We send the organisation your signed session record sheet so they can pay for your sessions. It shows your name, the dates of your sessions and whether you attended. It never includes anything about what you talk about.
  • Keeping people safe. If we are seriously worried about your safety or someone else’s, we may need to contact safeguarding services or emergency services. We will tell you first unless doing so would put you or someone else at risk.
  • The law. If a court orders it or the law requires it. We will tell you unless we are prevented from doing so.

We never sell your information or pass it to marketing companies. We will not tell your employer, family or friends anything about you, including whether you come here, unless you ask us to.

Emails from us

We email you about your appointments: confirmations, reminders and occasionally a short check-in from the Lighthouse team if we haven’t heard from you for a while. These come from admin@lighthousetherapygroup.co.uk. If you’d rather not receive check-ins, just tell us. We do not use your details for marketing.

If you visit our website

If you send us a message through our website’s contact form, we use what you send only to reply to you, and we treat it with the same care as everything else in this notice. Our website uses cookies. Essential cookies keep it working; any others are only used if you agree to them through the cookie banner. Our Cookie Policy explains this in more detail.

How long we keep it

  • Therapy records: seven years from your last contact with us.
  • Financial records, including session record sheets: six years from the end of the tax year they relate to.

After that, paper records are shredded and electronic records are permanently deleted. We sometimes have to keep records longer, for example if a complaint or legal process is still open.

How we keep it safe

Paper notes are kept locked away, and only your counsellor and, where needed, our Clinical Lead can see them. Our electronic systems are password protected and only people at Lighthouse who need your information for their role can get to it. Your contact details are kept apart from your therapy notes.

Your rights

  • To see what we hold about you. Ask us and we will send you a copy within one month. There is no charge.
  • To have something corrected if it is wrong or incomplete.
  • To ask us to delete your information. We will do this where we can, but we may need to keep therapy records for the full seven years in case of a legal claim. We will explain if that applies.
  • To ask us to limit how we use your information, or to object to how we use it, in certain situations.
  • To receive your information in a format you can take elsewhere, in certain situations.

To use any of these rights, contact Mark Walsh at mark@lighthousetherapygroup.co.uk or at our address. We may ask you to confirm who you are first, to protect your information.

If you’re unhappy

If you have a concern about how we have handled your information, please talk to us first and we will do our best to put it right. If you are still not satisfied, you can contact the Information Commissioner’s Office (ICO):
